Privacy Policy
This privacy notice discloses the privacy practices for [Your Company Name]. It has been created to inform and protect those who are concerned with how their personally identifiable information (PII) is being used online. PII is data that can be used on its own or with other information to identify, contact, or locate a single person. It can also be used to identify an individual in context. Please read this privacy policy carefully to learn how we collect, use, protect, or otherwise handle your PII on our website.
What Personal Data Do We Collect, and Why?
When navigating our site, you may be asked to enter your name, email address, phone number, or other details to help you with your experience. This information may be collected when you sign up to receive information, respond to marketing communications, surf the website, schedule or manage nutritional appointments, or use other site features to optimize your experience and make informed decisions. We follow appropriate data collection, storage, and security measures to protect against unauthorized access, alteration, disclosure, or destruction of your personal information and data stored on our site.
Comments
When visitors leave comments on the site, we collect the data shown in the comments form, along with the visitor’s IP address and browser user agent string to help spam detection.
An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.
Media
If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the site.
Cookies
Cookies are small files that a site or its service provider transfers to your computer’s hard drive through your web browser (if you allow) that enables the site’s or service provider’s systems to recognize your browser and capture and remember certain information. This only occurs if you opt-in or accept cookies. Situations that involve cookies may include:
- Leaving a comment on our site. You may opt-in to saving your name, email address, and website in cookies. This saves you time when leaving another comment—no need to re-enter your details. These cookies will last for one year.
- Logging into an account on our site. We set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser. When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me,” your login will persist for two weeks. If you log out of your account, the login cookies will be removed.
- Navigating the site. We may use cookies to monitor site activity to provide you with a better experience or future improvements. These help us compile aggregate data about site traffic and interactions.
Embedded Content
Pages on this site may include embedded content (e.g., videos, images, articles) from other websites. Interacting with this embedded content behaves in the same way as visiting the other website directly. These third-party sites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content.
Comment plugins (including those from Facebook, Google, or others) do not store or access your information when you view embedded comments on our site.
Analytics
We may use Google Analytics and similar technologies to collect and aggregate data to better understand our visitors and improve our services. By using our site, you consent to these services.
Communications and Appointment Reminders
We collect phone numbers to communicate with you about your nutritional appointments, including sending reminders, confirmations, scheduling updates, follow-up instructions, or other related messages via text message (SMS) or voice calls. These communications may be automated or non-automated and are intended solely to support your nutritional and wellness care.
- Consent: By providing your phone number during sign-up, appointment booking, or other interactions (e.g., via forms with a clear consent checkbox such as “I agree to receive appointment reminders via text/SMS”), you expressly consent to receiving these appointment-related communications via SMS or calls, in accordance with the Telephone Consumer Protection Act (TCPA). For healthcare-related messages like appointment reminders, this aligns with TCPA allowances for express or implied consent. Message and data rates may apply. Message frequency varies but is typically limited (e.g., no more than 3 messages per week per appointment-related matter).
- Opt-Out: You may opt out of receiving text messages or calls at any time by replying “STOP” to any SMS message we send, by contacting us directly, or by updating your communication preferences in your account (if available). Opting out will not affect your ability to receive services, but it may limit our ability to send timely reminders.
- HIPAA Considerations for Communications: As a provider of nutritional services, we handle protected health information (PHI) in compliance with the Health Insurance Portability and Accountability Act (HIPAA). Appointment reminders are designed to minimize the disclosure of PHI (e.g., we avoid including sensitive details such as diagnoses or treatment specifics in text messages). We use HIPAA-compliant tools and vendors with Business Associate Agreements (BAAs) where communications may involve PHI. For full details on how we handle PHI, please refer to our separate Notice of Privacy Practices, available upon request.
What Do We Do With Your Data?
We retain comment data and metadata indefinitely to recognize and approve follow-up comments automatically. If you register or create an account, we store the personal data you provide in your user profile. You can view, edit, or delete your personal information at any time (though usernames cannot be edited after registration). Website administrators can also view and edit user information.
We use your data to provide and improve our services, including nutritional consultations, appointment scheduling, and related communications. Phone numbers are used only for the purposes described in the Communications section above.
Do We Share Your Data?
We do not sell, trade, or otherwise transfer your personally identifiable information to outside parties. This does not include trusted third parties who assist us in operating our website, conducting our business, or servicing you, provided they agree to keep this information confidential (e.g., via contracts or Business Associate Agreements for HIPAA-covered vendors).
We may disclose your information when we believe release is appropriate to comply with the law, enforce our site policies, protect the rights, property, or safety of ourselves or others, or respond to legal requests.
Where Do We Send Your Data?
Visitor comments may be checked through an automated spam detection service. We follow best practices set forth by the Fair Information Practice Principles and comply with applicable privacy laws protecting your personal information.
Security
Sensitive and private data exchanged between our site and its visitors occurs over a Secure Sockets Layer (SSL) secured communication channel — indicated by a closed lock icon and “https” in your browser — and is encrypted and protected. Our practices comply with HIPAA and PCI standards (where applicable) to keep your health information and/or payment card data secure both online and offline.
For SMS communications, we use secure, compliant platforms to protect your data.
